01
Who we are
Sociaphase is the creative and digital studio of Thriveark Inc., based in Montréal, Québec. This policy explains what personal information we collect through our websites, sociaphase.com and ca.sociaphase.com, why we collect it, and what we do with it.
It is written to meet Québec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) and Canada’s Personal Information Protection and Electronic Documents Act.
02
What we collect
We only collect what you choose to send us, plus a few technical details:
- Free homepage check form: your website address, name, email, business name and your optional note. We also note how you reached the page, for example a tag in the link such as “instagram”, or the website you came from.
- Email and WhatsApp: whatever you choose to write to us.
- WhatsApp button counter: an anonymous count of clicks on our WhatsApp buttons, with the page and whether it was a phone or a computer. No name, IP address, cookie or other identifier is stored.
- Server logs: our hosting provider keeps standard technical logs (such as IP address, browser and time of request) for security and troubleshooting.
Our websites do not use advertising trackers, analytics cookies or third-party analytics.
03
Why we use it
We use your information to prepare and send your homepage review, to reply to you and, if you ask, to discuss a project with you. We do not sell or rent personal information, and we do not add you to a mailing list. We contact you only about your request unless you ask us to.
04
Consent
By sending the form or contacting us, you consent to this use of your information. You can withdraw your consent at any time by emailing us. We will then stop using your information and delete it, unless the law requires us to keep it.
05
Service providers and where data is stored
We use a small number of service providers to run our websites and email:
- Hostinger: website hosting and email.
- Sanity: the content of our blog and portfolio.
- WhatsApp (Meta): only if you choose to message us there. WhatsApp’s own privacy policy then applies.
These providers may store information outside Québec and Canada, for example in the United States or the European Union. They may only use it to provide their service to us and must protect it.
06
How long we keep it
We keep homepage check requests and related emails for up to 24 months after our last exchange. If your request leads to a project, we keep project records as long as needed for the work and for our legal and accounting obligations. After that, the information is deleted.
07
Security
Access to your information is limited to the people at Sociaphase who need it. Our websites and email use encrypted connections. No system is perfectly secure; if an incident involving your information could cause you serious harm, we will notify you and the Commission d’accès à l’information du Québec, as the law requires.
08
Your rights
You can ask us to:
- tell you what personal information we hold about you, and how we collected it;
- correct it if it is wrong or incomplete;
- delete it, or stop using it;
- give you a copy in a common electronic format.
Send your request to the person in charge of personal information at hello@thriveark.com and we will reply within 30 days. If you are not satisfied with our answer, you can contact the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada.
